How we work together — bookings, quotations, responsibilities and the small print, kept plain.

These terms explain how we work together when you enquire about or book a trip with Top Guide Sri Lanka. By using this website or confirming a booking, you agree to them. They are written plainly on purpose; if anything needs clarifying, just ask.

About us and these terms

Top Guide Sri Lanka is a private tour operator based in Agalawatta, Sri Lanka. These terms apply to the tours, transfers and related services we arrange. Please read them alongside our Privacy Policy.

Our service

We provide private, tailor-made travel — your own vehicle and driver-guide rather than fixed group departures. For heritage sites, we arrange guides licensed by the Sri Lanka Tourism Development Authority. In organising your trip we act as the coordinator, bringing together independent suppliers such as accommodation, safari operators and transport providers.

Enquiries and quotations

We do not publish fixed prices, because no two trips are the same. When you enquire, we prepare a quotation based on your dates, group size, chosen route and the season. Sample itineraries on this site are starting points, not fixed packages — they can be shortened, extended or reshaped. A quotation is valid for the period stated in it and may change if your requirements or the underlying supplier costs change before you confirm.

Bookings and payment

A booking is confirmed once we have agreed the itinerary with you and completed the booking steps we set out at the time, which may include a deposit to secure dates and suppliers. Payment arrangements, amounts and timing are those stated in your booking confirmation. Please check your confirmation and itinerary carefully and tell us promptly of any error.

Changes by you

We build trips to flex, so we will always try to accommodate changes you ask for. Some changes — particularly close to travel, or where suppliers have their own rules — may affect availability or cost, and we will let you know before confirming them.

Changes or cancellation by us

It is rare, but occasionally we may need to change or cancel arrangements — for example, if a supplier becomes unavailable or for reasons beyond our control. If that happens we will tell you as soon as possible and offer a suitable alternative or a fair resolution for the affected part of the trip.

Cancellation by you

If you need to cancel, tell us as early as you can. Any deposit or amounts already paid, and what can be refunded, are governed by the cancellation terms in your booking confirmation, which reflect the policies of the suppliers involved.

Your responsibilities

To help your trip run smoothly, you are responsible for:

  • Holding a valid passport and any visa or electronic travel authorisation required for Sri Lanka.
  • Arranging your own travel insurance — we strongly recommend cover for medical care, cancellation and belongings.
  • Checking any health or vaccination requirements for your trip.
  • Being ready at agreed times, and looking after your own belongings.
  • Behaving lawfully and respectfully toward guides, drivers, suppliers, local people and sacred sites.

Third-party suppliers and liability

Hotels, safari jeeps, boats, the railway and other services are operated independently by their providers. We select suppliers with care and coordinate them on your behalf, but we are not liable for their acts, omissions or their own terms. Our responsibility is limited to arranging the services we agree to provide and exercising reasonable care in doing so. Nothing in these terms limits liability that cannot be limited by law.

Wildlife, weather and things beyond our control

Safaris and nature experiences are wild, not staged — animal sightings can never be guaranteed. Weather, road conditions, sea conditions, closures and other events outside our control may require us to adjust a route or activity for your safety and enjoyment. We will always do our best in these situations, but we cannot offer compensation for natural factors of this kind.

Health, safety and activities

Some activities — including safaris, boat trips, snorkelling, hiking and climbing sites such as Sigiriya — carry inherent risks. Please take part only within your ability, follow the instructions of your guide and activity operators, and let us know in advance of any medical condition or mobility need so we can plan sensibly.

If something goes wrong

If you are unhappy with any part of your trip, please tell your driver-guide or contact us straight away, while we still have the chance to put it right. If it cannot be resolved at the time, please raise it with us in writing afterwards and we will look into it properly.

Intellectual property

The text, images and design on this website belong to Top Guide Sri Lanka or are used with permission, and may not be copied or reused without our consent.

Privacy

How we handle your personal information is set out in our Privacy Policy, which forms part of these terms.

Governing law

These terms are governed by the laws of Sri Lanka, and any dispute relating to them or to your trip is subject to the jurisdiction of the courts of Sri Lanka.
